The publicity team will help
publicize your upcoming event or activity. Here's how the team
works.
Flyers: Stephanie St.

In September,
Stephanie will send the new chairs the flyers from the previous
year. Here’s the process to follow to update/re-create a flyer:

2months prior to the event
– Chair sends changes/updates to the flyer to Stephanie.

Stephanie
designs the new flyer and gains approval from event chair (turn
around time is 1-2 weeks)

Once event
chair approves flyer, Stephanie sends to the superintendent’s
office for approval.

Once approved,
Stephanie sends flyers to PocketNotes Chair for copies and
inserting into PocketNotes.

Flyers are
printed in Black & White for copying, as well as in color for
extra exposure and for posting at key places (see below).

Releases & Calendar:
Wendy Luce

Wendy is
responsible for working with event chairs and board members in
getting items listed in the MI Reporter calendar and/or an article
in the Reporter. If the event chair desires listing in other
publications, such as ParentMap, Wendy will work with them on that.
The following is
the process for getting items listed in the calendar, as well as
requesting an article:

Calendar:
Please submit events to Wendy by the 23rd of the
previous month.

All events
need to include details about the event (who, what, when,
where, etc).

Please
submit a contact name,
phone number, and email address with the event
information.

The MI
Reporter will publicize an event three weeks before the
event.

Press Release/Article:
Send Wendy all details of the event and a draft article (if
available). Wendy will write an article and put the information
in press-release format for submission to the MI Reporter.
Wendy will contact you with questions, will write the release
for you, and get your approval on the final draft.

Mercerdale Sign:
Wendy manages the MIPA information for the sign at Mercerdale
Park. MIPA publicizes major events such as Halloween, Toy Swap,
etc. If you want to create a sign for this board, you must
first gain Executive Committee approval.
A-Boards: Anjali Patel

Our A-boards chair
will place A-boards in 6 spots around the Island one (1) week prior
to the event. A-boards generally go up the Saturday or Sunday prior
to an event and are taken down after the event or the day following
the event.

Our A-board
chair also posts extra flyers in key places (such
as including the Library, the book store, Mary Wayte Pool,
health & country clubs, Starbucks).
